Privacy Policy

Softly ("we", "us", "our") is operated by Raj Gurung as a sole proprietorship. This policy explains what data we collect, why we collect it, how we use it, and your rights. We have written it in plain language because you deserve to understand how your information is handled.

What data we collect

When you use Softly, we collect the following:

  • Account information: your name, email address, and profile picture (if provided).
  • Tasks and content: tasks you create, notes, due dates, categories, and any documents you upload to the document vault.
  • Device information: device type, operating system version, app version, and a unique device identifier for push notifications.
  • Usage analytics: how you interact with the app (screens visited, features used, task completion rates). This helps us improve Softly. We do not track you across other apps or websites.

AI processing

When you use AI features (natural language task creation, smart suggestions), the text you enter is sent to Anthropic's Claude API for processing. Anthropic does not store your prompts or use them for model training. We send only the minimum context needed to parse your task. Your data is processed in real time and not retained by Anthropic after the response is returned.

Voice data

Voice input is transcribed using Deepgram's speech-to-text API. Audio is streamed directly for transcription and is not stored by Deepgram or by us after transcription is complete. The resulting text is then processed like any other task input.

Payment data

Subscriptions are handled through RevenueCat, Apple App Store, and Google Play. We never see, store, or process your credit card or payment details. RevenueCat provides us with subscription status information (active, expired, trial) so we can manage your access to premium features.

Document vault

Files you upload to the document vault are stored in Amazon Web Services (AWS) S3. All files are encrypted at rest using AES-256 encryption and encrypted in transit using TLS. Only you (and household members you explicitly share with) can access your documents.

Push notifications

We store Expo push tokens to deliver task reminders and notifications. You can disable push notifications at any time through your device settings or within the Softly app. When you opt out, we stop sending notifications and delete your push token.

Household sharing

When you join or create a household, other members of that household can see shared tasks, task assignments, and shared documents. Your personal tasks remain private unless you explicitly assign or share them. Household members can see each other's names and profile pictures.

Third-party services

We use the following third-party services to operate Softly:

  • Anthropic (Claude) for AI task parsing and suggestions.
  • Deepgram for voice-to-text transcription.
  • RevenueCat for subscription management.
  • Amazon Web Services (AWS) for file storage and infrastructure.
  • Cloudflare for DNS, CDN, and security.
  • New Relic for application performance monitoring and error tracking.

Each of these services has their own privacy policy. We only share the minimum data required for each service to function.

Data retention

Your account data, tasks, and documents are kept for as long as your account is active. When you delete your account, we delete all your personal data within 30 days. Anonymised, aggregated analytics data (such as overall task completion rates) may be retained indefinitely to help us improve the product. Completed task counts used for streaks and XP are retained while your account is active.

Your rights

Under the UK Data Protection Act 2018 and the EU General Data Protection Regulation (GDPR), you have the right to:

  • Access your personal data and receive a copy of it.
  • Rectify inaccurate or incomplete data.
  • Delete your account and all associated data.
  • Export your data in a portable format.
  • Restrict or object to certain processing activities.

Cookies

Softly uses minimal cookies. The mobile app does not use cookies. The web app uses a single authentication token cookie to keep you signed in. We do not use advertising cookies, tracking cookies, or third-party cookies.

Children

Softly is not designed for children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal data, please contact us and we will delete it.

Changes to this policy

We may update this policy from time to time. For material changes, we will notify you via email or an in-app notification. The "last updated" date at the top of this page will always reflect the most recent revision.
